Safeguarding and Child Protection Policy and Procedures

 

1. Policy Statement

London Glee Stars is committed to providing a safe, positive, and inclusive environment for all children and young people. We believe that every student has the right to learn, perform, and grow in an environment free from harm, abuse, and neglect.

We recognise our legal and moral responsibility to safeguard and promote the welfare of all children and young people, as set out in the Children Act 1989 & 2004, Working Together to Safeguard Children (2018), and the Keeping Children Safe in Education (KCSIE) statutory guidance (2024).

 

Our priority is always the wellbeing of our students, and we will act promptly and appropriately if we have concerns about a child’s safety.

2. Scope

 

This policy applies to:

    •    All staff (paid or voluntary)

    •    Visiting teachers, contractors, and guest artists

    •    Trustees, management, and volunteers

    •    Parents, guardians, and carers who engage with our school

    •    All students under 18 years old

3. Key Principles

    •    The welfare of the child is paramount.

    •    All children, regardless of age, disability, gender, race, religion, sexual orientation, or background, have an equal right to           protection.

    •    All suspicions, concerns, and allegations of abuse will be taken seriously and responded to promptly.

    •    We work in partnership with parents, carers, and external agencies where appropriate.

    •    Safeguarding is everyone’s responsibility.

 

4. Designated Safeguarding Lead (DSL)

The DSL is responsible for:

    •    Acting as the first point of contact for all safeguarding concerns

    •    Liaising with the Local Authority Designated Officer (LADO)

    •    Keeping secure and accurate safeguarding records

    •    Ensuring all staff are trained and aware of safeguarding procedures

    •    Reviewing and updating this policy annually

 

In the DSL’s absence, a Deputy DSL will be appointed.

 

5. Recognising Abuse and Neglect

 

All staff must be aware of the signs of abuse, which may include (but are not limited to):

    •    Physical abuse: unexplained injuries, bruises, or fear of physical contact

    •    Emotional abuse: withdrawal, low self-esteem, extreme behaviour

    •    Sexual abuse: inappropriate knowledge or behaviour, discomfort around adults

    •    Neglect: poor hygiene, hunger, lack of supervision or medical care

6. Code of Conduct

 

All staff, contractors, and volunteers must:

    •    Treat all students with respect and dignity

    •    Avoid being alone with a child wherever possible (follow the “two-adult rule”)

    •    Maintain appropriate physical boundaries

    •    Never use physical punishment or abusive language

    •    Report any safeguarding concerns immediately

    •    Maintain professional communication (no personal messaging or social media contact with students)

7. Safer Recruitment

 

London Glee Stars will ensure safe recruitment by:

    •    Requiring enhanced DBS checks for all staff and volunteers working directly with children

    •    Taking up references prior to appointment

    •    Verifying identity and right-to-work documents

    •    Providing safeguarding induction and training

8. Procedures for Reporting Concerns

 

Step 1: Immediate Action

 

If you have a concern about a child’s safety:

    •    Report it immediately to the DSL (or Deputy DSL if unavailable)

    •    If there is an immediate risk of harm, contact 999

 

Step 2: Recording

    •    Complete a Safeguarding Concern Form as soon as possible

    •    Record facts only, not opinions

    •    Submit the form securely to the DSL

 

Step 3: DSL Response

 

The DSL will:

    •    Assess the concern

    •    Consult with the Local Authority Designated Officer (LADO) if necessary

    •    Decide whether to refer to Children’s Social Care or Police

    •    Keep a secure record of all actions taken

9. Allegations Against Staff

 

If an allegation is made against a member of staff:

    •    Report immediately to the DSL (or Director if DSL is the subject of the allegation)

    •    DSL will inform the LADO within one working day

    •    Staff member may be suspended pending investigation (where appropriate)

10. Online Safety

    •    Students’ images will not be used without parental consent

    •    Online teaching (if used) will be via secure, password-protected platforms

    •    Staff will not engage in one-to-one unsupervised video calls with students unless pre-approved and recorded

    •    Cyberbullying will be treated as a safeguarding concern

11. Whistleblowing

 

All staff have a duty to report concerns about poor safeguarding practices.

Concerns can be raised internally with the DSL or externally with:

    •    NSPCC Whistleblowing Advice Line: 0800 028 0285

    •    Ofsted: 0300 123 4666

12. Training

    •    All staff will receive safeguarding induction training before starting work

    •    DSL and Deputy DSL will receive Level 3 Safeguarding Training every 2 years

    •    All staff will receive annual refresher training

13. Record Keeping

    •    All safeguarding records will be stored securely (digital or paper)

    •    Records will be kept confidential and separate from student files

    •    Information will only be shared with those who need to know

14. Review

This policy will be reviewed annually by the DSL and School Director, and updated in line with changes to legislation or guidance.

TERMS AND CONDITIONS

London Glee Stars – Terms and Conditions

 

These Terms and Conditions set out the rules, policies and procedures for students and parents/guardians of London Glee Stars Performing Arts School (“LGS”, “we”, “our”, or “us”). By enrolling your child (or yourself) in our classes, workshops or events, you agree to the following:

 

1. Rules and Code of Conduct

 

LGS is committed to creating a safe, supportive and inclusive environment. All students and parents/guardians are expected to follow these rules:

 

1.1 Respect and Behaviour

    •    Students must show respect to teachers, staff and fellow students at all times.

    •    Bullying, aggressive, discriminatory or disruptive behaviour will not be tolerated.

    •    Parents/guardians are expected to behave respectfully towards staff and other families.

 

1.2 Attendance and Punctuality

    •    Students must attend regularly and arrive on time.

    •    Absences should be reported to LGS in advance where possible.

    •    Regular attendance is essential for participation in end-of-term showcases and performances.

 

1.3 Dress Code

    •    Students must wear suitable clothing that allows for safe movement and complies with any specific class requirements.

    •    Hair must be tied back and jewellery removed for safety.

 

1.4 Safeguarding and Welfare

    •    LGS follows UK safeguarding guidelines to ensure the safety of all children as above in our safe guarding policy and procedures.

    •    Parents/guardians must provide accurate emergency contact details and notify LGS of any medical conditions, allergies or additional needs.

    •    Students under 16 must be collected promptly at the end of sessions unless written permission is given for them to leave unaccompanied.

 

2. Fees and Payment

 

2.1 Term Fees

    •    Fees are charged termly and must be paid in full before the start of term to secure a place.

    •    Payment is accepted by bank transfer or any other method specified by LGS.

 

2.2 Late Payments

    •    Invoices not settled by the due date may incur a late payment fee.

    •    LGS reserves the right to refuse entry to classes until fees are paid in full.

 

2.3 Additional Costs

    •    Additional charges may apply for uniform, costumes, examination fees and performance tickets.

    •    Parents/guardians will be informed of any additional costs in advance.

 

3. Refunds and Cancellations

 

3.1 Student Absence

    •    Missed classes due to illness, holidays or personal commitments are non-refundable and cannot be transferred to another term.

 

3.2 School Cancellations

    •    If LGS cancels a class due to teacher illness, venue closure or unforeseen circumstances, a make-up class or credit will be offered where possible.

 

3.3 Withdrawal

    •    Written notice (by email) must be given at least four (4) weeks before the end of term if you wish to withdraw for the following term.

    •    If notice is not given, the next term’s fees will remain payable in full.

 

3.4 Refunds

    •    Fees are non-refundable once the term has commenced except in exceptional circumstances at the discretion of LGS management.

 

4. Liability

    •    LGS takes reasonable care to ensure a safe environment but accepts no responsibility for personal belongings brought to classes.

    •    Participation is at the student’s own risk. Parents/guardians must ensure students are medically fit to attend classes.

 

5. Data Protection and Media Consent

    •    LGS complies with UK GDPR. Student information is used solely for class administration, safeguarding and communication purposes.

    •    Photographs or video footage may be taken during classes and performances for promotional purposes. Parents/guardians who do not consent must notify LGS in writing at registration.

 

6. Agreement

 

By enrolling with London Glee Stars, you confirm that you have read, understood and agree to these Terms and Conditions.
